Job Summary
We are seeking a detail-oriented and organized Administrative Assistant to join our team. The ideal candidate will be responsible for processing documents (scanning them into our system and picking up/dropping off to various local clients) and facilitating communication among team members. This role requires strong time management skills, attention to detail and a commitment to providing excellent customer service. The Administrative Assistant will play a crucial role in maintaining office efficiency and supporting overall operations. This role will involve driving two to three times per week.
Key Responsibilities:
- Document Processing: Organize, track, and maintain plan submissions, revisions, and approvals. Ensure that plans are scanned into proper software.
- Coordination: Communicate with office staff to coordinate the pick-up/drop off of plans to various clients.
- Customer Service: Respond to phone calls and inquiries related to plan submissions, approval processes, and code requirements.
- Administrative Support: Provide general administrative assistance to office staff.
Qualifications
- Experience in an office environment.
- Driver's License Required
- Strong clerical skills with attention to detail.
- Excellent time management abilities to prioritize tasks effectively.
- Familiarity with customer service principles and practices.
- Strong communication skills, both verbal and written, with an emphasis on phone etiquette.
- Ability to work independently as well as part of a team in a fast-paced environment.
Working Conditions:
- Full-time position.
- Office environment with site visits two times per week.
