Real Estate Transaction Coordinator (Independent Contractor)

Position Overview:
We are seeking an experienced Real Estate Transaction Coordinator (Independent Contractor) to support the sales and closing process for a multifamily condominium project (under 50 units) located in San Francisco. This role manages the administrative and organizational aspects of each transaction from contract through close of escrow, working closely with our internal sales team, lenders, and title companies.
This is an internal, non-client-facing role focused on ensuring an efficient and well-documented transaction process. The ideal candidate is detail-oriented, highly organized, and familiar with San Francisco real estate transactions and local escrow/title practices.
Key Responsibilities:
- Transaction Management: Oversee the contract-to-close process for all unit sales, tracking purchase agreements, deposits, disclosures, contingency removals, financing milestones, and closing documentation.
- Coordination with Stakeholders: Act as the primary liaison between the internal sales team, title/escrow officers, and lenders to ensure seamless communication and workflow.
- Document Control: Maintain organized and compliant transaction files, ensuring all required documents are completed accurately and on time.
- Deadline Monitoring: Track key contract dates, contingency periods, and closing schedules; proactively follow up with all parties to maintain progress toward successful closings.
- Scheduling: Coordinate signings, walkthroughs, and closing appointments as needed to support the sales team’s timeline.
- Reporting: Provide regular status updates on transaction progress, pending items, and upcoming deadlines.
Qualifications:
- Self-directed, vital sense of urgency, with impeccable attention to detail and follow-through.
- Proven experience as a Transaction Coordinator, Escrow Officer, or in a related real estate administrative role, ideally with experience in new construction and multifamily condominium projects.
- Knowledge of San Francisco real estate transaction processes, DRE requirements, and escrow/title practices.
- Excellent organizational skills with the ability to manage multiple transactions and deadlines simultaneously.
- Clear and effective written and verbal communication skills.
- Proficiency with Microsoft Suite, collaborative software applications (Smartsheet, Google Docs, MS Teams, among others) and digital signature platforms such as DocuSign.
- Local to the San Francisco Bay, open to flexible hybrid or remote structure.
Project Scope & Time Commitment:
- Independent contractor role.
- Approximately 50+ unit transactions anticipated over the next 9 months.
- Hybrid andvariable remote hours aligned with transaction frequency and schedule.
- Workload will vary depending on transaction volume and pacing throughout the sales cycle.
