Location: Remote - Los Angeles, California
Start date: Asap; Flexible
Hours: Monday-Friday; Full-time. OT as needed. We are closed for major holidays.
Pay: $30.00 per hour
Executive Assistant Description
Archive is seeking an Executive Assistant who will report directly to the CEO, collaborating closely with the Chief Financial Officer, Chief Clinical Officer, and other members of the Clinical and Business Operations teams. The Executive Assistant will communicate with external contractors, follow up on correspondence, scheduling meetings, and keep track of multiple platforms of communication.
They will manage documents for the company on Google Drive and Notion, conduct online research, and perform various administrative tasks that arise as the company grows and develops.
Executive Assistant Responsibilities
- Scheduling: Organize calendars, schedule appointments and meetings, travel bookings for all members of the executive and management team.
- Manage Correspondence: Write and distribute email, letters, faxes, and forms for the CEO.
- Oversee Mail: Handle incoming mail, including digital postal mail and digital email inboxes for the executive team.
- Record-keeping: Maintain accurate and up-to-date staff and legal records, documenting in accordance with Archive, legal, and ethical standards.
- Finance Support: Manage, submit, and maintain receipts and invoices, sending to the finance team in a timely manner.
- Administrative Duties: Provide comprehensive administrative support to executives and perform special projects as needed.
- Reporting: Assist in the preparation of regularly scheduled reports as needed.
- IT Support: Provide remote IT support and troubleshooting, assist with IT onboarding, and deliver IT training as needed to ensure efficient and secure use of all digital platforms by Archive team members.
- All other duties as assigned.
Skills and Education
- Bachelor’s Degree
- 5+ years of Executive Assistant experience
- Remote in the Los Angeles, California area
- Strong computer skills, including a proficiency in Google Suite, and a proven ability to master new programs
- Excellent organizational and time management skills: managing calendar and emails, keeping track of correspondence, following up, and thinking ahead
- Exceptional communication skills, writing professional emails and communicating with external clients and contractors
- Self-starter skills: taking the initiative within a remote role, pro-actively asking questions, ability to prioritize appropriately
- Attention to small details and ability to move quickly from one project to another
- Committed to discretion, careful in communication, and ability to uphold confidentiality
