About the Opportunity:
The Accounting Administrative Assistant will undertake a variety of Accounting administrative duties. The Accounting assistant's duties involve a wide range of support activities inside our Accounting department.
Duties will be focused on:
- Accurate and timely processing of bookkeeping information.
- Must have the ability to execute detailed tasks efficiently in a dynamic, friendly workplace.
- An important part of your role will be to support the accounting department in organization and accurate data entry.
This position will be located on-site at our Santa Rosa location. This position is regular Non-Exempt / Hourly, Full-time, and reports to the Staff Accountant .
KEY RESPONSIBILITIES
Duties and Responsibilities:
- Perform AP/AR data entry and maintain accurate tracking of financial transactions.
- Research and resolve discrepancies with vendors on invoices and payments.
- Organize and file invoices and other related documentation.
- Assist with account reconciliations and monthly general journal entries.
- Support annual insurance renewals and audits.
- Enter and manage bills in the accounting system.
- Process bank deposits and print checks as needed.
- Assist with online bill payments and manage monthly expense reports.
- Contribute to ad hoc projects as assigned.
REQUIRED EDUCATION AND EXPERIENCEQUALIFYING SKILLS:
Education & Experience:
- Associate Degree (Preferred)
- QuickBooks: 1-2 years (Preferred)
- Bookkeeping: 1-2 years (Preferred)
- In-person office work setting
- Must be at least 21 years of age.
- Background check required.
- US work authorization (required).
Skills and Proficiency:
- Must have experience with assisting the operations of a multifaceted small business office
- Strong organizational, problem-solving, and analytical skills; able to manage projects, priorities, and workflow
- Ability to work efficiently and independently and maintain confidentiality
- Demonstrates a high level of professionalism in dealing with confidential and sensitive issues
- Must be proficient with intermediate to advanced computer skills in the following: Quickbooks online, MS Word, Excel, Outlook, and Google Workspace. Experience with Metrc is a plus
- Professional communication skills
- Highly organized with excellent attention to detail
- Readiness to troubleshoot and problem-solve
- Willingness to pitch in to help others when needed

WORK ENVIRONMENT & PHYSICAL DEMANDS
While performing the duties of this job, the employee is frequently required to do the following:
- Constant exposure to fine particulate cannabis plant material as airborne particles
- Prolonged periods of sitting at a desk and working on a computer
- Must be able to lift 15 pounds at times
- Must be able to access and navigate each department at the organization's facilities including stairs and controlled-access environments
- Occasionally moves boxes or equipment up to 50 pounds
- Constantly works in an indoor office setting
- Occasionally move about inside the office to access file cabinets, office machinery, etc.
- Constantly operates a computer and other office productivity machinery, such as a calculator, copy machine, and computer printer.
- Regularly ascends/descends stairs to the office area.
- The ability to communicate information and ideas so others will understand. Must be able to exchange accurate information in these situations.
- The ability to observe details at close range (within a few feet of the observer) and fine print documents or presentation screens.

- May be subject to the noises, cold, and odors of a functioning processing warehouse and/or farm

- Daily exposure to machinery noise, and extreme heat/cold
EXPECTED HOURS OF WORK This is a full-time position. Scheduled hours are subject to change depending on seasonal demands. Overtime, weekend work, and 8-10 hour days will be required seasonally.

SALARY DESCRIPTION
