Our Property Operations team:
• Provides the full-scope of day-to-day management services for our entire portfolio, including lease administration for 600+ tenants
• Maintains operating budgets, including analysis and reporting of financial results
• Conducts major project budgeting and implementation
• Performs some tenant billing functions
• Coordinates buildouts in conjunction with our construction team
JOB DESCRIPTION: Property Manager
** The Property Manager (PM) works with the Executive VP (EVP) out of our main office in lower Manhattan to oversee the management of the entire portfolio of retail and office/industrial properties and assists in supervising the field office facilities managers.
** This position coordinates many aspects of the comings and goings of tenants, works with our Legal Department, craft and enforce agreements with tenants, vendors and municipalities.
** The PM supports acquisition, leasing and re-financing activities by providing financial/budget analysis and assists the EVP in contracting for various engineering, environmental and municipal approvals services.
** Assist with the department’s billing/collections functions, as needed, through supportive analysis and tenant correspondence.
** Most of our properties are within driving distance of our office. However, some travel to the more remote locations will be required.
* Responsible for review and approval of all invoices to be paid by the property owners. Monitor line-item budgets all year long as each invoice is approved. Prepare budget change orders for approval, as needed.
* Supervise the delivery of tenant spaces, transfer of utilities, fulfillment of pre-possession requirements by tenant (insurance certificates, transfer of utilities, required permits, etc.).
* Work with the EVP and/or field office facilities managers to provide the Leasing Department with Landlord’s Work budgets for prospective tenant transactions
** At various times throughout the year, support the bidding and awarding of maintenance and service contracts for landscaping, common area cleaning, janitorial services, building and/or parking lot security, snow removal and building elevator/mechanical systems.
** Review property condition/status reports provided by service contractors in remote locations (upstate NY, VA, MD, TN, VT & OH).
** Work with the leasing department and field office facilities managers to develop operating budgets in Yardi for all locations. This work is shared between the EVP and PM.
QUALIFICATIONS:
- Bachelor's Degree Required: Finance, Business, Management, Accounting concentration is a plus
- 2-5 years of property management experience (commercial preferred)
- Must be highly organized and have good writing and interpersonal communication skills and the ability to manage his/her time across various roles and responsibilities
- Must be highly proficient in Excel, Word, Outlook
- Ability to research and interpret legal documents (leases, contracts)
- Operate in a paperless, fully digitized environment.
- Our property management and accounting systems run on Yardi. A successful candidate will need to have experience in Yardi or a similar program so these skills could be transferred with some training.
