Position Summary We're seeking a dynamic and dedicated Executive Assistant (EA) to join our team and provide top-notch administrative support to our Executive Director and Operations department. Key Responsibilities
- Administrative Support: Manage the Executive Director's calendar, complete expense reports, prepare confidential correspondence, arrange meetings, itineraries, and agendas, and compile documents for project-related meetings.
- Schedule Management: Ensure the Executive Director's schedule is followed and respected, and oversee the leadership team and agency-wide meetings schedule.
- Gatekeeper and Gateway: Create win-win situations for direct access to the Executive Director's time and office.
- Communication: Communicate on behalf of the Executive Director with Advisory Committee members, donors, PHC staff, and others regarding PHC's initiatives.
- Issue and Concern Management: Research, prioritize, and follow up on incoming issues and concerns, including sensitive or confidential matters.
- Internal Liaison: Facilitate smooth communication between the Executive Director's office and internal departments, maintaining credibility, trust, and support.
- Executive Support: Inform the Executive Director of upcoming commitments and responsibilities and act as a "barometer" for office environment issues.
- Relationship Building: Lead efforts to build relationships crucial to the organization's success and manage special projects.
- Critical Deliverables: Complete critical tasks with a hands-on approach, including drafting acknowledgment letters and personal correspondence.
What We're Looking For
- Bachelor’s degree or equivalent experience required.
- 5-10 years of experience supporting C-Level Executives, preferably in a non-profit organization.
- Strong organizational skills with excellent attention to detail.
- Proficient in Microsoft Office (Outlook, Word, Excel, PowerPoint), Adobe Acrobat, Canva, Teams, Zoom, and Salesforce.
- Exceptional interpersonal skills and ability to build relationships with stakeholders.
- Expert-level written and verbal communication skills.
- Proactive problem-solving approach with strong decision-making capabilities.
- Ability to handle confidential information with discretion.
- High level of emotional maturity.
- Team player who can also work effectively independently.
- Demonstrated ability to achieve high-performance goals and meet deadlines in a fast-paced environment.
- Forward-thinking and solution-oriented.
