Hollstadt Consulting is looking for an Entry-Level Recruiting Coordinator to join our team and support our talent acquisition efforts. In this role, you’ll be a key partner to our recruiting team, helping manage the end-to-end hiring process and ensuring a smooth, professional, and engaging experience for every candidate we represent. You’ll play an important role in helping us attract and hire top talent, contributing directly to the success of our team and clients. Position Key Objectives
Deliver a Seamless Candidate Experience
Ensure candidates are professionally guided through every stage of the hiring process—from initial contact to offer—while maintaining clear and timely communication.
Support Recruiters with Administrative Efficiency
Manage interview scheduling, calendar coordination, and communication logistics to allow recruiters to focus on sourcing and relationship-building.
Maintain Accurate Recruiting Data
Keep the ATS and internal trackers up to date with candidate statuses, notes, interview outcomes, and other critical details to ensure reporting accuracy and visibility.
Ensure Compliance and Documentation Accuracy
Help track required documentation (e.g., resumes, forms, EEOCs, etc,) and ensure hiring processes adhere to internal and client-specific policies.
Essential Duties and Responsibilities
Job Posting Management
- Publish job openings on multiple external job sites as directed by recruiters, ensuring accurate and timely postings across all platforms.
- Maintain consistency and branding across all job postings, following formatting and content standards.
- Monitor job board performance and expiration dates, refreshing or closing postings as needed.
- Assist in editing job descriptions to ensure clarity and alignment with client or recruiter expectations
Candidate Pipeline Support:
- Proactively monitor active candidate pipelines, flagging bottlenecks or delays to recruiters and helping move candidates forward.
- Provided updates to candidates and internal team members on the status of candidates for client needs including rejection, interview requests, and offers.
- Facilitate interview process including providing details/logistics to candidate and conducting preparation calls with candidate.
- Communicate with candidates throughout the process, providing information, updates, and timely responses to inquiries. (if needed)
Internal Reporting & Metrics:
- Pull weekly/monthly reports from the ATS to support recruiter productivity reviews or client updates.
- Maintain and update the applicant tracking system (ATS) to ensure accurate and current candidate data.
- As directed, identify and communicate any process changes impacting external clients, VMS, or consultants. Provide updated information to all relevant parties.
- Enter new hire information into ATS as needed.
Recruiter Support:
- Prepare resumes on behalf of recruiters
- Schedule initial phone screens and interviews with Senior/Principal Recruiters.
- Support resume and application reviews and conduct initial candidate screenings.
Qualifications Required
- Bachelor’s degree or Associate degree required or equivalent experience required
- 1–2 years of relevant experience in a Recruitment Coordinator, Project Coordinator, HR support, or related administrative role; experience in advertising, marketing, or sales is a plus
- Highly organized with strong attention to detail and the ability to prioritize and manage multiple tasks
- Strong sense of urgency, accountability, and the ability to thrive in a fast-paced, process-driven environment
- Excellent verbal and written communication skills, with a professional and executive-caliber tone
- Strong relationship-building and client service skills
- Comfortable working both independently and collaboratively, with a team-first mindset
- Flexible, adaptable, and able to navigate ambiguity with a self-starter attitude
- High level of proficiency with Microsoft Office applications (Word, Excel, Outlook, Teams)
- Experience using or willingness to learn applicant tracking systems (e.g., Salesforce, Bullhorn, iCIMS, JobDiva)
- Familiarity with or ability to quickly learn modern sales or recruiting tools, systems, and processes
- Proven judgment and discretion in handling sensitive or confidential information
- Ability to execute effectively at a detailed level while maintaining a broader awareness of goals and deadlines
- Willingness to work evenings or weekends as needed based on business demand
Salary & Benefit Information
- The anticipated starting salary range for individuals expressing interest in this position is $25.50-$29.00/hour. Placement within this range is dependent upon the level of experience, location and other factors.
- This position is eligible for a performance bonus which will be a part of total compensation.
