The Real Estate Associate is responsible for supporting the oversight, assessment, and reporting of physical assets across a real estate portfolio. This role combines regular on-site facility inspections with data management, reporting, and project coordination responsibilities. The position requires frequent travel and strong organizational and communication skills to ensure property conditions, regulatory compliance, and capital projects are accurately monitored and documented. This individual will report to the Director of Real Estate, working closely on all day-to-day activities.
Key Responsibilities:
- Conduct site visits to both existing properties within the portfolio and potential new facilities, ensuring a comprehensive assessment of each location.
- Completes and submits a detailed site visit report within 48 hours of travel, ensuring adherence to the approved reporting format, and providing clear and actionable insights.
- Summarizes and consolidates relevant findings from third-party reports into internal company template, ensuring accuracy and thoroughness in each report.
- Reviews and updates the property management database with the most recent site visit data to maintain an accurate, real-time record of each facility’s status and condition.
- Updates property database immediately following each site visit, ensuring that all new findings, changes, and actions are recorded accurately and promptly.
- Coordinates and performs regular follow-up inspections or additional site visits as required, ensuring compliance with the company’s quality standards and regulatory requirements.
- Travel up to 50%+ of the year, requiring flexibility and availability to visit various site locations as part of the role’s responsibilities.
- Facilitate and manage the triennial reporting process to minimize the time commitment required from senior leadership.
- Track and compile relevant data, ensuring accurate and timely submissions.
- Assist with the Capital Expenditures funding draw process, acting as a backfill as necessary, to ensure smooth approval and fund allocation for facility projects.
- Review and assess quotes for renovations and new construction projects, ensuring pricing is accurate and aligns with project expectations.
- Serve as a key point of contact for all facility-related construction, renovation, and maintenance inquiries.
- Tracks operator utility reporting requirements, collects and organizes operator utility data, enters utility data into tracking system, creates and maintains a report that tracks owned facilities scores. Performed with a degree of efficiency and accuracy.
- Maintains a tracker of all notices of liens received and follows up with Operations team to ensure proper payment is made or filed liens are released.
- Supports Operation’s senior management team with compiling site visit reports utilizing their notes and photos from site visits, and relevant data that can be found in offering memorandums, third party reports, and the internet.
- Mandatory formal training/education on physical plants to deepen knowledge base on common real estate issues and how to identify them.
- Mandatory formal training on industry specific issues and how to identify them. Training topics to be reviewed and scheduled in collaboration with management.
Qualifications:
- Bachelor’s degree preferred
- 5+ years of experience in facilities management, project coordination, or related field
- Experience in analyzing facility data, identifying maintenance trends, and performing quality assurance checks
- Strong communication and organizational skills to coordinate various stakeholders across multiple projects
- Microsoft Suite proficiency
- Excels in fast paced environment with a high degree of accuracy
- Strong work ethic with ability to work independently
- Willing to travel up to 50%+
