Job Description:
As a Tenant Services Coordinator, you will be responsible for providing best-in-class customer service to building tenants while also providing office management and administrative support to the property management teams. You will coordinate the day-to-day delivery of property services to tenants, emphasizing a positive response to tenant concerns. As a member of an entrepreneurial team, you will be exposed to multiple facets of real estate ownership and management and will have the opportunity to assume greater responsibility as the company grows. This position is based in Charlotte, N.C.

Redline is a boutique real estate investment, development and management firm headquartered in Charlotte, N.C. with an office in Minneapolis. The company acquires, develops and manages commercial real estate projects with approximately $200MM AUM currently.
Experience required: 2+ years of experience in customer service or relations
Responsibilities (including but are not limited to):
- Establish and maintain positive relationships with all tenants to ensure tenant satisfaction
- Receive tenant service requests and direct them to the appropriate building personnel; responsible for ensuring that requests are tracked and completed on a timely basis
- Assist in developing, producing and distributing building communications
- Perform property and corporate office administration functions from time to time, which may include answering telephones, greeting office visitors, distribute incoming mail, receiving and directing tenant service requests and maintaining the building card access program
- Manage office supplies and equipment to ensure they meet the assigned group’s supply and stationery needs
- Work with vendors, such as janitorial, security and parking contacts to maintain building standards
- Perform periodic site inspections of property
- Proactively update internal forms for the property management department
- Draft, proofread and send correspondence to tenants and vendors as directed
- Organize, route, and maintain tenant and vendor files (and filing systems), both manual and electronic
- Maintain building card access programs, conduct routine card access audits and provide tenants with new access cards as needed
- Coordinate all conference room reservations for building tenants where applicable
- Assist with accounts receivables reports; contact delinquent tenants by dates stated in lease and work closely with accounting to resolve billing and payment issues as directed. Prepare delinquent reminder letters
- Upload and code invoices into accounting system
- Assist property management teams with coordination of maintenance projects with external contractors; prepare, route and track related contracts
- Other related duties may be assigned as necessary
Qualifications:
As a Tenant Services Coordinator, you will be responsible for providing best-in-class customer service to building tenants in the properties assigned while also supporting property management team members. This role requires knowledge of and experience with typical administrative functions and exceptional customer service. This role will be relied on to support tenant engagement services to all building tenants. The following qualifications are required for successful performance in the role, and preference will be given to candidates with some or all of these skills or experience:
- High school diploma or equivalent from an accredited institution; bachelor’s degree preferred
- Outgoing, friendly and customer-service focused with good interpersonal skills
- Professional presentation, well groomed
- Demonstrate strong initiative and customer service orientation
- Interact with employees, visitors, tenants and vendors with poise and diplomacy
- Use proper format, punctuation, grammar, diction and style in all forms of communication; ability to communicate to multiple property team members and responsiveness to phone calls, emails and text messages
- Interpret instructions in written, oral and diagrammatic or schedule form
- Ability to manage and prioritize multiple tasks while meeting deadlines; work well under pressure
- Demonstrate strong attention to detail and proofreading abilities
- Ability to work in a team environment
- Maintain strict confidentiality
- Operate personal computers and other office equipment, including proficiency in Microsoft Office software
- Ability to lift up to 25lbs
- Work Schedule: Monday-Friday, general business hours (9 a.m.-5 p.m.); some overtime as business needs deem appropriate
