Compensation – Hourly + Bonus DOE

PRIMARY RESPONSIBILITIES INCLUDES:
- Assist with the management of multiple medical office buildings.
- Support day-to-day operations to property managers.
- Provide front facing support to tenants as their first point of contact.
- Respond to tenant requests and work orders, and dispatch appropriate internal departments or 3rd party vendors as needed. Follow up on all service orders to ensure high tenant satisfaction.
- Assist with tenant move-in and move-out process, e.g. signage updates, key requests, or access to work order system.
- Assist with routine property inspections and promptly attend to necessary repairs and maintenance.
- Generate and process service contracts, purchase orders, and work authorizations.
- Generate and track tenant billable requests, ensuring appropriate approvals have been approved prior to processing.
- Maintain certificate of insurances for vendors and tenants to ensure compliance.
- Assist with accounts receivables for tenants and update delinquency notes.
- Process Accounts Payable for the office properties and work closely with Accounting department to ensure timely payments.
- Maintain property database, including building information, and tenant and vendor contact list.
- Assist with rent adjustments and tenant charge-backs, print and email rent statements.
- Ensure all property files are prepared and maintained in an orderly and logical manner (hard and electronic files).
- Draft and send tenant communications through tenant portal.
- Provide office administrative support as needed.
- Assist with special projects/assignments as needed.

- Customer Service Skills - Ability to establish and maintain effective tenant relationships and deliver customer-centric solutions.
- Organizational Skills - Time management and prioritization.
- Communication Skills - Excellent verbal and written communication, active listening, and customer service skills for handling inquiries.
- Technical Proficiency - Familiarity with office software like Microsoft Office Suite (Word, PowerPoint) with strong Excel skills and Outlook, and experience with Yardi preferred.

- Problem-Solving Skills - Ability to handle unexpected issues with minimal guidance, creativity in finding solutions to operational challenges, and flexibility to adapt to changing priorities and tasks.

- Resourcefulness and Proactivity - Anticipating the needs of the tenants and team members, ability to adapt to shifting priorities, proactively managing tasks without waiting for direction, and ability to foresee and prevent potential issues (Be proactive, not reactive).
- Basic Accounting Knowledge (optional but beneficial) - Familiarity with accounts receivables and payables, and budgeting.
EXPERIENCE:
- High school diploma/GED equivalent with 2+ years of relevant experience in commercial real estate industry or 4+ years in administrative support experience.
- Medical Office Building experience a plus.

Pay: $25.00 - $30.00 per hour
