Job Overview:
The
Leasing Coordinatoris responsible for managing and coordinating lease agreements, supporting tenant communication, and assisting with the administrative functions of the property management team. This position plays a key role in ensuring smooth lease processes, move-ins and move-outs, and compliance with company policies and legal requirements.
This is a
full-time, in-office positionbased in Oxford, MA, with
potential opportunities to work from homebased on performance and business needs.
We are looking to fill this position by
May 1st.
Key Responsibilities:
- Lease Administration:
- Prepare, review, and manage lease agreements and amendments
- Ensure accuracy and completeness of lease documentation and maintain updated records in the leasing database
- Track key lease dates, including expiration, renewal, and rent escalations
- Assist with lease renewals, terminations, and tenant compliance with lease obligations
- Tenant Relations:
- Act as the point of contact for tenant inquiries regarding leasing matters, move-ins, and move-outs
- Coordinate tenant onboarding processes, including lease signing, delivery of keys, and welcome packets
- Ensure timely and clear communication with tenants regarding rent changes, maintenance schedules, and lease requirements
- Move-In/Move-Out Coordination:
- Organize tenant move-in and move-out procedures, including inspections, key handovers, and finalizing lease terms
- Perform move-out inspections, document damages (if any), and coordinate repairs with maintenance teams
- Compliance and Reporting:
- Ensure all leasing procedures comply with legal requirements and company policies
- Prepare and submit leasing reports and occupancy updates to the Property Manager or leadership team
- Assist with compliance tracking, such as insurance certificates and other lease obligations
- Administrative Support:
- Provide administrative support to the property management and leasing teams
- Maintain tenant files, both electronic and physical, ensuring that all documentation is up to date
- Assist in marketing efforts for vacant properties by coordinating with marketing teams for listings and advertisements
Requirements:
- Active Massachusetts Real Estate Salesperson License (required)
- Valid driver’s license and a reliable vehicle (required)
Qualifications:
- Education: High school diploma required; associate or bachelor’s degree in real estate, business, or related field preferred
- Experience: 1-3 years of experience in lease administration, property management, or a related field
- Skills:
- Strong organizational skills with attention to detail
- Excellent communication and interpersonal skills
- Proficiency in property management software and Microsoft Office Suite
- Ability to manage multiple tasks simultaneously and work in a fast-paced environment
