The Gorfaine/Schwartz Agency, a premier Music Talent Agency representing renowned composers in Film, TV, and Interactive Media, is seeking a proactive and enthusiastic Agent Assistant to join our team. Located in Burbank, we collaborate with leading entertainment production companies to connect our exceptional clients with opportunities to create music for projects reaching global audiences.
As an Agent Assistant, you will play a crucial role in supporting the agent in researching, securing, and facilitating work for our clients.
Key Responsibilities
In this role, you will:
- Perform administrative tasks including rolling calls, professionally answering and fielding high-volume phone calls, and handling, processing and filing all incoming emails.
- Manage and maintain a busy business calendar, including scheduling meetings, events and activities for agents and clients.
- Organize and track incoming and pending action items for the agent, providing timely reminders.
- Research and track project opportunities for clients.
- Track client submissions and maintain the company project database.
- Take accurate notes from meetings and calls.
- Interact professionally with studio executives, directors, producers, and clients via phone and email.
- Collaborate effectively with all departments within the agency.
- Perform other duties as assigned.
What We’re Looking For
The ideal candidate will bring:
- Experience: 3-5 years of assistant experience in the entertainment industry required.
- Organizational Skills: Exceptional organization, time management, and attention to detail.
- Communication: Outstanding written and verbal communication skills.
- Technical Skills: Proficiency in Windows, Word, and Outlook.
- Proactive Approach: The ability to anticipate needs and stay ahead of tasks.
- Calm Under Pressure: Professionalism and composure in fast-paced, high-pressure environments.
- Problem Solving: Strong critical thinking, multitasking, and problem-solving abilities.
- Resourcefulness: Excellent research skills and the ability to prioritize tasks with minimal supervision.
- Teamwork: A collaborative attitude and the ability to work well within a team.
Position Details
- Schedule: Monday – Friday, 9:30 AM to 6:30 PM (in-office, Burbank).
- Benefits: Medical, dental, and vision coverage, plus accrued PTO.
