Transaction Coordinator to join our team
on-site and support our real estate agents by managing the administrative aspects of transactions from contract to close.
Responsibilities
Transaction Management:
- Manage all aspects of real estate transactions from contract execution to closing.
- Track and meet all contract deadlines, contingencies, and required disclosures.
- Review contracts and supporting documents for accuracy and compliance with brokerage policies and state regulations.
- Maintain accurate transaction records in Brokermint (back office system).
- Coordinate with agents, escrow officers, lenders, and vendors to facilitate a smooth closing process.
Communication & Coordination
- Serve as the central point of contact for all transaction-related communications.
- Provide updates to agents, clients, and third parties regarding transaction progress.
- Schedule and confirm inspections, appraisals, and closing appointments.
- Assist in obtaining necessary signatures and documentation to ensure timely processing.
Compliance & Brokerage Support
- Ensure all transaction files are complete and compliant with brokerage and state regulations.
- Work closely with the Agent Success Coordinator (ASC) to support agents with transaction-related needs.
- Upload and organize documents within Brokermint, Brivity CRM, and Appfolio Property Management systems.
- Monitor and enforce brokerage guidelines to uphold contract integrity.
Closing & Post-Closing Support
- Verify commission disbursements and ensure timely processing.
- Coordinate final walkthroughs and ensure all closing documents are in place.
- Assist with post-closing follow-ups, client appreciation efforts, and database updates.
Qualifications
- Required: active Arizona Real Estate License.
- Required: Prior experience in real estate transaction coordination, escrow, title, or a related field.
- Strong understanding of real estate contracts, timelines, and compliance requirements.
- Proficiency in Brokermint, Brivity CRM, and Appfolio Property Management is a plus.
- Highly organized, detail-oriented, and capable of managing multiple deadlines.
- Excellent written and verbal communication skills.
- Ability to work on-site in the office Monday–Friday, 8AM to 5PM.
- Team-oriented mindset with a proactive and problem-solving attitude.
