Job Title: DHS Administrative Assistant

Reports To: Director of Housing
Job Summary
The Alcott Center for Mental Health Services, nonprofit community mental health agency is seeking an organized, motivated candidate for a FULL TIME Administrative Assistant position providing all necessary administrative and operational support to the programs.
Essential Duties and Responsibilities include, but not limited to the following:

Maintain accurate and organized filing of all client documentation and correspondence, both physical and digital.

Serve as a backup to the Receptionist, handling front desk responsibilities as needed.

Support financial administrative tasks, including uploading receipts, processing invoices, and tracking program expenses.

Order and maintain office and program supplies to ensure operational efficiency.

Assist in scheduling interviews and coordinating logistics for candidate screenings.

Provide logistical support for client services and staff meetings, including setup and material preparation.

Assist administrative staff with preparing and distributing large-scale mailings and outreach materials.

Collaborate with program staff to complete specific program-related tasks as needed.

Perform all other appropriate administrative and operational duties as assigned.
Qualifications:

High School Grad or equivalent required - some college preferred

Basic computer skills
-
General office or transferable experience

Excellent organizational skills
-
Personable and comfortable in outpatient mental health facility environment

Comfortable running office/client related errands
-
COVID-19 Vaccine and Booster required.

Proof of valid California Driver’s License required, Clean Driving Record required and must be insurable on Alcott policy.

Live Scan is required.
If driving a company vehicle is an essential function of your position, you are required to possess and maintain a valid CA Driver’s License and be insurable by our insurance carrier.
All employees are required to be fully vaccinated and have (1) Booster upon hire date. If you have a medical or religious exemption proof will be required upon hire date.

This is a full-time position with a 40-hour work week; the agency is currently open for services Monday through Friday 8:30 am – 5:00 pm.
