Responsibilities
- Support Executive Team
- For in-person meetings, ensure all components are coordinated including adding persons to our building guest list, refreshments/snacks are provided
- Organize travel, accommodations and reservations for team members work-related travel
- Financial
- Work with financial team on all financial movements, wires, trades, tax filings, ect.
- Project manage the execution of significant purchases: artwork, cars, homes, planes, boats, etc.
- Manage Administrative Staff
- Recruit and train personnel and allocate responsibilities
- Assess staff performance and provide coaching and guidance to ensure maximum efficiency through Culture Amp platform
- Develop Admin Resource Center in Box for continual learning and development
- Manage and Maintain LA Office
- Plan and coordinate administrative procedures and systems to devise ways to streamline processes
- Organize and supervise all office activities and ensure office is always ready for client and internal meetings
- Oversee facilities services, maintenance activities and tradespersons
- Serve as back-up for all in-office coverage
- Manage all PO’s and file monthly office expenses
- Support UHNW Team
- Calendar management, Expense recording (Advisory Support)
- Agenda Execution for client meetings (Advisory Support)
- Compile bi-monthly Upcoming UHNW Client Meetings list
- Serve all in-office notary needs
- Build-Out New Hire Onboarding & Tech-Training Program
- Created a comprehensive checklist for each new hire
- Built-out tech onboarding program
- Mail and Checks Processing
- Mail Allocation
- Check Deposit within 24 hrs of receipt
Qualifications
- 5+ years administrative assistant or executive assistant experience is preferred

Our compensation reflects the cost of talent across multiple US geographic markets. The base pay for this position across all US geographic markets ranges from $75,000.00/year to $125,000.00/year. Pay is based on a number of factors including geographic location and may vary depending on job-related knowledge, skills, and experience. Eligibility to participate in an incentive program is subject to the rules governing the program, whereby an award, if any, depends on various factors including, without limitation, individual and organizational performance. Roles may also be eligible for additional compensation and/or benefits.
