The PROPERTY ASSISTANT FOR LEASING, & ADMINSITRATION position with Recreate Property Management is responsible for the marketing and leasing of units within the Company’s portfolio of managed properties. The Property Assistant also assists the Director of Property Management and the Company’s Management Team with administrative tasks related to each property.

The scope of responsibilities shall include areas noted below and develop overtime based on performance:

MARKETING & LEASING

Post the availability of upcoming rentals via AppFolio, Craigslist, and social media platforms
Create social media programs for each community
Formalize a corporate marketing program at specific communities
Promptly follow up on any inquiries from potential tenants and document follow up in AppFolio
Coordinate site property tours with potential tenants
Mastering phone techniques, closing techniques, and follow up procedures
Process rental applications and credit reports based on our Rental Criteria
Prepare and send out Welcome Letters for future tenants and assist with any questions and concerns
Prepare lease agreements for future tenants and ensure they are executed accurately and timely
Coordinate move-ins and move-outs, including conducting inspections and documenting any damages
Assist with updating unit/property photos in AppFolio especially after unit renovations/construction

TENANT RELATIONS

Assist the Director of Property Management with maximizing tenant satisfaction, including coordinating access with tenants and/or vendors as needed
Meet with tenants as necessary and manage sensitive tenant issues and communicate any issues to management
Assist the PM team with pending lease renewals and as needed create new leases ensuring the accuracy of all renewal documents
Assist as needed in ensuring the timely collection of rent payments, review delinquency reports, issue late fee charges and Three-Day notices as needed
Assist in responding to tenant maintenance requests, and follow up with residents to ensure they are satisfied
Assist the Director of Property Management with tenant move outs
Update vacancy reports and tenant information

PROPERTY ADMINISTRATION

Assist in the prompt accounting of all Lowe’s invoices into AppFolio
Collaborate with maintenance staff to ensure prompt resolution of maintenance issues
Participate in the on call after hours emergency rotation
Assist with property inspections and ensure compliance with safety and maintenance standards
Maintain accurate records of all property-related transactions and activities
Process, batch, code and input operating invoices weekly in AppFolio; ensure appropriate backup is maintained and attached
Review invoices thoroughly to ensure billings are in accordance with contracts, purchase orders, work orders and packing slips; ensure prior balances are accurate and all invoices are paid timely
Obtain W-9 for new vendors as needed
Set up new accounts as necessary
Assist in organizing the key and security management systems for each community

COMPANY ADMINISTRATION

Attend weekly PM meetings and participate in communicating any specific leasing and marketing activities
Assist with banking deposits when necessary
Assist Company’s Management Team with general administrative support

Job Type: Full-time

Pay: $25.00 - $30.00 per hour

Expected hours: 40 per week
